Notice of Winter 2013 Election
To the LGBTOUT General Membership:
My name is Matthew Haaland, the current LGBTOUT Financial Coordinator, and I will be serving as your Chief Returning Officer (CRO) for the LGBTOUT Centre for Queer, Questioning, and Allied Students Winter 2013 Election (herein referred to as “the election”).
The election will be taking place at the LGBTOUT Winter General Meeting (GM) on Monday March 4th, 2013, from 9-10 am, location to be announced.
The nomination period for the election will be open from 6pm on Monday February 18th, 2013, to 6pm on Monday February 25th, 2013. During this period, those seeking to run in the election must submit a candidate statement to me via email. Candidate statements must be no longer than 300 words and must be sent to email@example.com.
I ask all prospective candidates to please hold off on campaigning until the nomination period has closed. This is to ensure that any issues regarding individuals’ eligibility to run in the election are cleared up before campaigning begins.
In addition, it must be noted that campaigning in or around the LGBTOUT Drop-In Centre is prohibited.
At the GM, all nominated candidates will have the opportunity to present their platforms to the General Membership. Afterwards, an initial voting session will take place. Voting shall take place on a secret ballot. On each ballot, for each position being elected, a vote may be cast for any one of the candidates running for that position; a vote may also be cast for “none of the above.”
After the initial voting session at the GM, there will be three separate voting sessions held at the LGBTOUT Drop-In Centre (located in the archway of Sir Daniel Wilson Residence at 73 St. George Street) on:
MONDAY March 4th – 10-11 a.m.
TUESDAY March 5th – 4-5 p.m.
WEDNESDAY March 6th – 11 a.m. – 12 p.m.
THURSDAY March 7th – 3 – 5 p.m.
The results of the election will be released on Friday March 8th, 2013. For each position, the result will be decided by a simple majority. In the case of a tie, one additional voting session will be held the following week to break the tie between those individuals with the same number of votes.
It must be noted that, under the LGBTOUT Constitution (see attached document), only those members in “good standing” are eligible to run and/or vote in the election. These include those students from the University of Toronto’s St. George campus who have actively participated in any LGBTOUT meetings or events in the current academic year, or who have been recognized as members in good standing through a simple majority vote by the LGBTOUT Executive Committee.
The positions up for election at this time include the following:
The Administrative Coordinator
The administrative coordinator is responsible for attending to administrative tasks, such as scheduling meetings, collecting and distributing meeting minutes, etc.
The Event Coordinator
The event coordinator is responsible for planning at least one (1) event per term to help build community among the members of the LGBTOUT Centre. This individual is encouraged to work closely with the executive committee, other U of T groups, and/or groups outside of U of T when planning events for the LGBTOUT Centre.
The Financial Coordinator
The financial coordinator is responsible for the accounting of the LGBTOUT Centre’s funds. They are responsible for keeping and maintaining accurate and complete records of all of the LGBTOUT Centre’s financial transactions. In consultation with the other members of the executive committee, the Financial Coordinator shall prepare a budget at the beginning of each academic year and shall provide a budget report at the annual general meeting and at general meetings as required.
The Public Relations Coordinator
The public relations coordinator is responsible for the LGBTOUT Centre’s public relations strategies and actions. They are responsible for promoting the LGBTOUT Centre and its activities, responding to media inquiries, and updating/moderating the media sites used by the LGBTOUT Centre to reach its members. These sites include the LGBTOUT Centre’s website, Facebook page, Twitter account, and listserv.
The Resources Coordinator
The resources coordinator is responsible for updating and organizing the resources distributed by the LGBTOUT Centre, including pamphlets, brochures, referral lists, and safer sex supplies. The Resources Coordinator is expected to work closely with the Volunteer Coordinator and the Training Coordinator to ensure that LGBTOUT Centre volunteers are aware of the LGBTOUT Centre’s resources and how to use them.
The Space Coordinator
The space coordinator is responsible for overseeing the maintenance of the drop-in and office spaces of the LGBTOUT Centre.
The Training Coordinator
The training coordinator is responsible for organizing at least one (1) mandatory training each academic term for executive committee members and LGBTOUT Centre volunteers. The Training Coordinator is encouraged to provide additional, regularly occurring opportunities for education and development among the LGBTOUT Centre’s members.
The Volunteer Coordinator
The volunteer coordinator is responsible for recruiting, interviewing, and scheduling volunteers for the LGBTOUT Centre. The are encouraged to work closely with the other members of the executive committee to facilitate greater interaction between executive committee members and LGBTOUT Centre volunteers.
The members of the LGBTOUT Executive Committee strongly encourage women-, bi-, and trans-identified people, along with queer people of colour, to run in the election.
